02How we collect personal data

We collect personal data from the following sources:

  • Directly from you — in connection with contacts, requests for quotes, orders and marketing campaigns.
  • From our website — through cookies and tracking technologies, as described below.
  • From public sources — we follow news related to our target markets and other public sources of information to develop our business.

03What personal data we collect

We collect personal data to the extent necessary to provide the service. Typically we process the following types of data:

  • Basic details — name, email address, phone number, job title and organization.
  • Customer and contract data — information on orders, billing and service delivery.
  • Website usage data — data collected through cookies and tracking technologies.

Descriptions of the data content of our systems are available to customers via our extranet.

04Legal bases and purposes

We process personal data on the following bases:

Performance of a contract
Customer data is used to deliver and maintain services, manage the customer relationship and handle billing.
Legitimate interest
We use personal data for new-customer acquisition and marketing targeting to the extent justified for our business and with the data subject's rights taken into account.
Consent
For cookies and marketing tracking, processing is based on consent, which you can withdraw at any time.
Legal obligation
Certain data, such as accounting records, is retained for the period required by law.

05Cookies and tracking technologies

Our website uses cookies and similar tracking technologies. Cookies are small text files stored on your device while you browse the site. You can manage your cookie settings in your browser or via the cookie banner shown when you arrive on our site.

06How we secure personal data

Personal data is stored in customer-register and billing systems protected by user credentials, behind secure data connections. The systems are acquired specifically for these needs from trusted third parties.

For systems delivered into a Softera customer's own IT environments, the contents of the databases are produced and owned by the customer, who is responsible for their data protection.

07Retention periods

We retain personal data only as long as necessary:

  • Data collected during the customer relationship is retained for its duration and afterwards generally for up to six years (an Accounting Act obligation for billing data).
  • Data collected through cookies is retained, depending on the cookie type, from a few months up to two years.
  • Data based on consent is processed until the consent is withdrawn.

08Disclosure of data

We do not disclose personal data to third parties for marketing purposes. We disclose customer data to external partners only when it is necessary to deliver the service.

Data collected through cookies and tracking tools (Google, HubSpot, LinkedIn) is transferred to those providers in accordance with their privacy policies. These providers may transfer data outside the EU on the basis of standard contractual clauses or other transfer mechanisms compliant with the GDPR.

09Your rights as a data subject

You have the following rights regarding the processing of your personal data:

Right of access
You can request confirmation of whether we process your personal data and obtain a copy of the data processed.
Right to rectification
You can request the correction of inaccurate or incomplete personal data.
Right to be forgotten
You can request the erasure of your personal data if there is no longer a basis for processing.
Right to restriction
In certain situations you can request the restriction of processing of your personal data.
Right to object
You can object to processing based on legitimate interest, in particular for direct-marketing purposes.
Right to data portability
You can request the transfer of your personal data to another controller in a machine-readable format, where processing is based on consent or a contract.
Right to withdraw consent
You can withdraw your consent for cookies or marketing communications at any time. Withdrawal does not affect the lawfulness of processing carried out before it.

10Supervisory authority

You have the right to lodge a complaint about the processing of your personal data with the Finnish Data Protection Ombudsman if you consider that your personal data has been processed contrary to data-protection law.
